To track employee certification expiration, keep a dated credential record for each person, review awards approaching expiry, and define what must happen before a renewal is approved. Keep the earlier award when you issue the next one, so someone reviewing the record can follow the history.

A completion date alone is not enough. It tells you when training happened, but not necessarily whether a credential is current, which renewal rules apply, or what evidence supports another award.

This guide walks through the operational steps and an actual administrator renewal in the Edaxu Academy demo. The sample uses a deliberately short initial expiry so we can show the workflow today. It is a demonstration record, not evidence that an employee completed a year of training or holds an accredited qualification.

The recording follows the filter, renewal action, retained history, and current public verification. Its written steps appear below.

Start with the record you need to maintain

Separate the training evidence from the credential's lifecycle. They are related records with different jobs.

FieldWhat it helps you answer
Learner and organizationWho holds the award, and which team is responsible?
Course or credentialWhat does the award cover?
Completion evidenceWhich assessment, attendance record, or other requirement was satisfied?
Certificate IDWhich specific award are we discussing?
Issued and expiry datesWhen did this award begin, and when does it expire?
Current statusIs it active, expired, revoked, or superseded?
Renewal requirementWhat must happen before the next award can be issued?
Renewal reason and linked awardWhy was it renewed, and which award came before it?

Not every credential needs every field, but the program owner should decide that explicitly. A course-completion certificate, a professional license, and an externally accredited qualification can have different renewal requirements. Software settings do not establish those requirements for you.

Set the renewal rule before sending reminders

Write down the answers to four questions:

  1. What makes someone eligible? It might be recompleting a course, passing an assessment, or an administrator reviewing external evidence.
  2. When can renewal happen? Define the renewal window and what to do with requests outside it.
  3. How is the next expiry calculated? Decide whether it runs from renewal, the previous expiry, or a fixed calendar date.
  4. Who can approve exceptions? Record the reason when an administrator issues a renewal manually.

Check exact dates in your trial. A setting labeled in months is not enough to prove how a product handles calendar boundaries, leap years, or early renewal. Compare the resulting award dates with your program's written rule.

In Edaxu, the portal policy can configure expiry and automatic renewal after eligible recompletion. The demo policy shows a 30-day renewal window. Administrator renewal is a separate action, which is the path demonstrated below.

Find awards approaching expiration

Review a forward-looking list, rather than waiting for a learner to report an expired certificate. A practical starting point is a weekly review of the next 30 days, adjusted to the time your actual renewal requirements take.

Give each upcoming renewal an owner. Decide who contacts the learner, who reviews the evidence, and who handles exceptions. A filtered list is a work queue only when someone is responsible for acting on it.

For this demonstration, we manually issued a new sample award to Dee Demo for Secure Information Handling, with an explicit September 26, 2026 expiry. The short initial period is intentional demo setup. We did not change the existing awards used in Edaxu's other walkthroughs.

In Certificates → Issued Certificates, selecting the course and filtering for awards expiring within 30 days brings that record into view.

The sample award appears in the 30-day expiry filter before renewal.

Perform an administrator renewal

For a real program, review the required evidence before authorizing a renewal. An administrator action should reflect a decision, not replace the assessment or approval your program requires.

In the demo, open the award's actions and choose Renew. The dialog asks for a reason and offers an optional new expiration date. We entered a demonstration reason and explicitly set the next expiry to September 26, 2027. That date is our input for this example; it is not proof of an automatic anniversary calculation.

The administrator supplies a reason and chooses the new expiry before issuing the renewal.

Selecting Issue renewal creates a new award. The earlier award becomes superseded, and the new award links back to it. This is an actual renewal recorded in the demo, not a mockup or an edited status label.

Keep the previous award and verify the current one

A renewal should leave an explainable history. Overwriting the original expiry in a spreadsheet can make it hard to distinguish the first award from the next cycle.

After renewal, inspect both records. Confirm the learner, course, issue date, new expiry, and connection to the previous award. Keep the original award's identity available for historical questions, and use the current award when checking present validity.

The recorded result is:

AwardExpiryStatus after renewal
Original sample awardSeptember 26, 2026Superseded
New renewal awardSeptember 26, 2027Active
The administrator list retains both awards and their distinct expiry dates. The renewed award has type Renewal.

The new award's detail view links back to the original certificate and records a CERTIFICATE RENEWED lifecycle event. We also opened the new award's verification page without signing in and confirmed that it shows Active & Verified and the chosen September 26, 2027 expiry.

The current award's public verification confirms the learner, course, expiry, and manual issuance reason.

Automatic renewal and reminders are different jobs

A reminder tells someone that action is needed. It does not establish that the renewal requirements have been met.

Edaxu's automatic path is tied to eligible recompletion under the effective certificate policy. A scheduled reminder is not the renewal trigger. Course-specific policy overrides can also matter, so check the policy that actually applies to the course.

The recording here demonstrates administrator renewal. It does not demonstrate automatic recompletion, a delivered reminder, an external-credit approval, or an assessment being passed. The demo's certificate email events stayed disabled.

Before using automatic renewal with your own program, test an early recompletion, one inside the allowed window, and the cases your organization treats as late or exceptional. Inspect what happens to both the award and its dates. Do not assume that an expired or revoked record follows the same path as a current award.

Build a repeatable review routine

A manageable process has a few clear steps:

  • Review upcoming expirations on a schedule that leaves enough time for required training.
  • Assign an owner for each unresolved renewal and any required follow-up.
  • Check evidence before approving an administrator renewal.
  • Verify the new award's dates and status, and retain the link to the earlier award.
  • Export the relevant certificate records when you need a portable review copy.
  • Review exceptions, missed renewals, and notification settings periodically.

Keep reminders and approvals distinct in your process. Also distinguish expired, revoked, and superseded: time passing, an administrative withdrawal, and a later award replacing an earlier one are different events.

If your program requires continuing-education credit totals, category caps, or accreditor approval, include those checks in your process. Edaxu does not currently provide a CE-credit ledger or credit-based renewal requirements; those records need a separate process.

Try the workflow with your own rules

Bring one representative credential, its renewal requirements, and a few edge cases to your evaluation. Test the output dates and historical records rather than relying on a list of available settings.

Our certification management software buyer's guide includes a free printable checklist for evaluating these requirements across vendors. For how Edaxu issues, renews, and preserves awards, see certification management in Edaxu and the certificate features.

Frequently Asked Questions

How do you track employee certification expiration dates?

Maintain a credential record with the learner, course or credential, issue date, expiry date, and current status. Review upcoming expirations regularly, assign responsibility for follow-up, and connect each renewal to its required evidence and earlier award.

Does a training completion automatically renew a certificate?

That depends on the product and the effective policy. In Edaxu, automatic renewal is tied to eligible recompletion and configured renewal rules. The demonstration in this article uses the separate administrator renewal action; it does not demonstrate automatic recompletion.

Should the new expiration date start from renewal or the previous expiry?

Use the rule defined by your program, then test how your software implements it. In this example, the administrator explicitly selected September 26, 2027. The demonstration does not establish an automatic calculation from the previous expiry.

What happens to the old certificate after renewal?

In the demonstrated Edaxu workflow, a new award is created and the previous one is marked superseded. The new record links back to the earlier award, allowing the administrator to follow the certificate's history.

Can certificate renewal reminders replace a renewal review?

No. A reminder prompts action; it does not prove that training, assessment, or approval requirements were met. Define the evidence needed for renewal and review it through the appropriate process before issuing an administrator renewal.

Can Edaxu renew credentials based on continuing-education credit totals?

Edaxu does not currently provide a CE-credit ledger, category totals, or credit-based renewal requirements. It supports course-linked certificate policies and administrator lifecycle actions; programs with CE requirements need a separate process for that evidence.
